Overview
A prestigious luxury jewellers in London is seeking a highly organised and detail-focused Junior Jewellery Administrator & Certificate Coordinator to support a new department. This role is integral to ensuring jewellery pieces are accompanied by the correct certification, maintaining flawless records, and supporting day-to-day workshop administration.

Key Responsibilities
Certificate Processing & Filing
- Receive, log, and process large numbers of certificates weekly.
- Match certificates accurately to jewellery reference numbers, product details, and inventory systems.
- Check data accuracy in logs and SAP for Business reporting.
- Maintain an organised archive/library system for efficient retrieval of certificates.
Global Certificate Dispatch
- Prepare and ship certificates to multiple locations each week.
- Ensure all dispatches are logged, tracked, and recorded.
Archive & Database Management
- Maintain both physical and digital archives of certificates securely.
- Update internal databases with certificate location, status, and movement.
- Implement systematic filing protocols to support compliance and access.
Cross-Department Support
- Liaise with Procurement, Logistics, Sales Liaison and Sales teams to supply certificates when required.
- Support internal and external audits by locating and verifying certificates efficiently.
- Assist the Senior Goldsmith and workshop team with administrative support when needed.
Skills & Qualifications
Essential
- Proven experience in administrative or document control roles (library, archival, inventory, or accounting environments).
- Exceptional attention to detail and accuracy when handling large volumes of data.
- Strong organisational skills and ability to prioritise workload.
- Proficient in Microsoft Office (Excel, Word, Outlook) and database management systems.
- Ability to meet weekly targets and dispatch deadlines.
- Excellent communication skills.
Desirable
- Knowledge of jewellery, gemstones, or luxury goods (not essential).
- Previous experience within the luxury industry.
- Familiarity with SAP systems.
