- Forming part of a small, dedicated team responsible for the seamless provision of excellent customer service, this role delivers administrative and operational support to ensure efficient and smooth workflow within the department. Of paramount importance to this role is the delivery of exceptional customer focus, both directly and indirectly. Full training in the operational aspects of the role will be provided.
Key Tasks and Responsibilities Administration & Operational Focus
Monitors workflow and job progress, ensuring adherence to lead times wherever possible.
Enters and records customer and watch data on the Rolex systems in accordance with the company’s policies and procedures.
Progresses all service jobs through the service system with a high level of accuracy and timeliness, in accordance with defined targets and guidelines.
Compiles and checks customer invoices to ensure price matches to quotation and parts issued are as expected.
Responsible for all administrative duties within the department, including the outbound process, site-to-site transfer, production of daily, weekly and/or monthly service reports and supporting IT data back-up process.
Provides cover to Reception, Spare Parts and Quick Service departments when required.
Identifies opportunities for process improvements to deliver exceptional customer service and quality.
Carries out other reasonable duties as requested and commensurate with capabilities.
Customer Focus
Provides accurate information to customers on all service issues or enquiries
Follows up job progress and communicates with customers at relevant intervals throughout the process.
Emails or calls through a private customers quotation
Manages customer proceeds & returns and amends quotations where necessary to ensure accurate reflection of customer and company requirements.
Provides exceptional customer service via professional and timely communications
